Terms & Conditions

Booking Courses:

Initial bookings can be made by telephone, email or through our quick enquiry form on our website but should always be confirmed by letter or preferably email. By booking with Phoenix Emergency Medical Solutions it is automatically assumed that you accept all of our terms and conditions.

Course Prices:

All courses are calculated for the client to supply onsite training facilities, this allows us to keep our prices affordable and competitive. Phoenix Emergency Medical Solutions can source venues if required at an extra cost, payable in advance, at the time of booking. We operate on a minimum of two students to a maximum of 12 depending on which course you want to book.  Ask us for more details.  Courses with only one student will only be considered if within the main Ipswich area.   We do not increase our prices very often but may increase a small amount from time to time.   For any courses that are further afield or 35 miles or more away from us we will need to add 50p per mile mileage due to the extreme increase in fuel costs.

Student Attendance:

Please note it is not the responsibility of Phoenix Emergency Medical Solutions to make arrangements or to notify any students that their attendance is required on one of our courses.  Please ensure all students are informed and reminded that they are due to attend a course along with the location, date and time they are expected to arrive by.  Please also ensure they know their attendance is still required if they are on a day off, annual leave or any other absence.  It is strongly advised that this is always arranged prior to confirming your preferred date with us.  Phoenix Emergency Medical Solutions will assume that all of these arrangements and notifications are in place with the students prior to confirming your date(s) with us.  No refunds will be issued for any students that do not attend their arranged course, and a new date will be charged at full price at the point of rebooking.  We will of course use our discretion in certain circumstances to waive rebook charge, depending on the situation.  We also reserve the right to refuse entry onto the course for any late arrivals that it is deemed they will have missed key theory or practical assessments to be able to gain this qualification or certificate.  Phoenix Emergency Medical Solutions will not be responsible for any lost cost incurred through late arrivals or no-show students in line with our refund policy.

Training Facilities:

Training facilities provided by the client must be large enough to allow for conducive learning and for practical training to take place safely and comfortably. A representative from phoenix EMS will need to come and view the room to assess its suitability prior to booking.  The client must also conform to the minimum standards expected of any organisation with regards to lighting, ventilation, access, refreshments etc. These will be discussed at the time of enquiry. If the facilities are unsuitable then we can source a local alternative if required, which must be paid in full and in advance, at the time of booking.

Payments:

All courses are payable in full at the time of confirming your booking.  This acts initially and most importantly to secure your date, secondly to confirm your booking.  Your date is at risk of being allocated to another client if your invoice remains outstanding.  None-payment WILL result in us not attending to teach your course on the day if your date has not already been re-allocated to another client within the outstanding period of your invoice.  Please Note: Any outstanding invoice will be subject to an 8% interest rate charge plus the current Bank of England base rate every 30 days on a pro-rata per day basis.

If any students do not attend a course and we have not previously been informed by email at least 7 full days prior to the course, the course place(s) will be non-refundable as laid out in the grid below.  For any students arriving late for a course, or are absent from any section of the course, we reserve the right to refuse to accept them onto the course or to re-join the course if we feel they will gain insufficient knowledge or skill in the time remaining.  In all such cases, the full course fee remains non-refundable as laid out in the grid below.

  • This is to comply with Health & Safety Executive requirements for statutory certificates, attendance and the students’ full participation is mandatory to gain the qualification.

Cancellation by the client:

All cancellations by the client become liable to the following charges:

Refund Notice:

More than 14 days 100%

7-14 days 50%

Less than 7 full days No Refund

Compulsory Requirements for courses:

First Aid or any national courses are ‘pass or fail’, and so with this in mind, all students are required to fully participate in the course and full attendance is required throughout the entirety of the course. Appropriate, dignified and comfortable clothing and shoes are required for the practical assessments (ideally no skirts, dresses’, tight restrictive clothing) and preferably flat comfortable shoes are advised.  Should any students be unable to complete the practicals on an EFAW course, to a competent level, their qualification will automatically be transferred over to the Appointed Person qualification rather than a fail, unless they specifically request that they want to pay to retake the complete EFAW course again instead.

  • Please refrain from wearing lipstick as it stains the Manikins. If you are unsure of anything and require more information, please contact us for advice.

  • Feedback taken from the courses allows us to continue to improve and deliver the highest quality courses, we take feedback very seriously and reserve the right to use feedback on our website.

Health & Safety:

In the case of physical skills courses (i.e. Emergency First Aid at Work, First Aid at Work, Automated External Defibrillation AED, Basic Life Support), because these are assessed practicals and a pass or fail can be issued, it is the employer’s responsibility to ensure that candidates are free from any condition which would affect their ability or capability and that they have the aptitude to cope with an intensive course of study and physical ability.

COVID-19

Measures have now been formerly lifted and we are now able to return to pre Covid conditions.  We will continue to deliver a safe training environment and remind all our students that they still have a responsibility to keep themselves and others around them on their courses safe.  Anyone that wishes to continue to wear masks and other PPE such as gloves during the course is welcome to do so, we will continue to supply PPE for the time being if they don’t have any with them.  We will continue to provide the use of hand gel during the course, but this is not to be taken out of the classroom or home with them.  Should anyone have any concerns, please contact us prior to the course or see us at registration.

Disabilities:

Any disabilities whether physical or learning (example: Dyslexia) must be discussed with a member of Phoenix Emergency Medical Solutions at the time of enquiry to enable us to make the necessary arrangements needed to make sure the students’ learning environment is suitable and structured appropriately for them to take part, and for us to apply for any ‘reasonable adjustment’ from our awarding organisation, should this be required and may take time for us to arrange.  We do welcome candidates with

disabilities for training.  However, it remains the responsibility of their employers to ensure that they are appropriately supported in their workplace and when arranging training courses.

All training and advice given by Phoenix Emergency Medical Solutions is done by following guidelines which are provided by the appropriate councils. Information given by Phoenix Emergency Medical Solutions is to the best of our knowledge up to date and evidence based. Phoenix Emergency Medical Solutions cannot accept any responsibility for misinterpretation of the advice given. Phoenix Emergency Medical Solutions always advises parents, guardians or carers to seek medical advice should they be concerned about the health of their child or person in their care.
